Document Standards and Template Development

In business operations, document standards often must be developed.  Document standards ensure consistent business and technical data collection and documentation.  The standards also ensure evidence of conformance necessary to meet Quality Assurance policies and they ensure materials and services are fit for purpose.

In short, document standards minimize errors, reduce cost and improve productivity.

Document standards and templates provide details required aid in document development and include topics such as:

  • Scope of work
  • Responsibility
  • Author qualifications
  • Approvals
  • Applicable reference standards
  • Applicable document templates
  • Document content
  • Standardized units of measure
  • Standardized abbreviations
  • Document control
  • Document management
  • Revision control
  • Printing guidelines
  • Distribution control
  • Management of change
  • Other relevant topics

Document Templates

In addition to document standards ZAETRIC also develops document templates and training material necessary to implement those standards.

Document templates are designed fit any project or business need.  Documents created in MS Word use a document template to create a new document.  The document template pre-determines several important settings for the new document created, including:

  • Word Styles
  • Content
  • Page Settings

Word styles are established formatting instructions that can be applied throughout the document.  The instructions cover fonts, bolding, paragraph settings, outline numbering and many other factors.  Some projects require multiple MS word files and using a template provides a consistent “look & feel” throughout each document.

Template content is the inclusion of pre-determined headers, footers, forms, pictures and any other document content that will be the basis of the document created from the template.

Template page settings include; margins, paper size, orientation, printing defaults, pagination, date format, header/footer layout & content and other factors.
